Gas Safety Compliance
UK landlords must ensure gas appliances, flues, and pipework are checked annually by a Gas Safe registered engineer. MaintenanceOS automates tracking, scheduling, and certification.
Legal Requirements
Gas Safety (Installation and Use) Regulations 1998:
- • Annual gas safety check by Gas Safe engineer
- • Certificate (CP12) issued within 28 days
- • Copy to tenant within 28 days (new tenants before move-in)
- • Records kept for minimum 2 years
- • Appliances: boilers, cookers, fires, water heaters, pipework, flues
Penalties: Unlimited fines, imprisonment, invalid insurance.
How MaintenanceOS Helps
Certificate Tracking
- • Each property → Gas Safety tab
- • Current certificate: expiry date, engineer, certificate number
- • Auto-warning: 60/30/7 days before expiry
- • Overdue alert: Red banner on property + daily notifications
Scheduling
1. Go to Property → Gas Safety → Schedule Check
2. Select Gas Safe engineer from your network
3. Choose date → Tenant notified automatically
4. Engineer receives job in portal with property access details
Engineer Requirements
- • Must be on Gas Safe Register for domestic work
- • Correct categories: CKR1 (boilers), CKR2 (cookers), HTR1 (fires), etc.
- • MaintenanceOS verifies via Gas Safe API at assignment
Certificate Upload
After check, engineer uploads:
- • CP12 certificate (PDF)
- • Appliance list with results
- • Any defects / remedial actions
- • Next check due date
System validates:
- • Engineer matches assigned engineer
- • Date within scheduled window
- • All required appliances listed
- • Certificate number format valid
Tenant Delivery
- • Automatic email to tenant with certificate attachment
- • Portal access for tenant to download anytime
- • Audit log: Delivery timestamp, method, recipient
Remedial Actions
If defects found:
1. Engineer marks on certificate → Creates Remedial Repair auto-linked
2. Safety latch triggers if "Immediately Dangerous" (ID) or "At Risk" (AR)
3. ID repairs: Emergency priority, gas supply isolated
4. AR repairs: Urgent priority, 24-hour target
5. Not to Current Standards (NCS): Advisory, tracked for next check
Portfolio View
Reports → Gas Safety Portfolio:
- • All properties with expiry status
- • Filter: Current / Expiring Soon / Overdue / No Certificate
- • Bulk schedule for properties due same month
- • Export for regulator / insurance
Multi-Unit Properties
For blocks / HMOs:
- • Common areas: Separate certificate (communal boilers, pipework)
- • Individual flats: Separate certificates per tenancy
- • MaintenanceOS links them: Block → Flat certificates
