Configuring Contractors

Your contractor network is the backbone of maintenance delivery. MaintenanceOS lets you manage contractors, their specialisms, and performance in one place.

Adding a Contractor

Go to Settings → Contractors → Add Contractor.

Required fields:

  • • Company name
  • • Primary contact (name, phone, email)
  • • Trade specialisms (select all that apply)
  • • Coverage area (postcode districts or radius from base)

Optional fields:

  • • Insurance expiry date (MaintenanceOS will warn 30 days before expiry)
  • • Gas Safe registration number
  • • NICEIC / ELECSA registration number
  • • Preferred payment terms
  • • Notes (internal only)

Trade Specialisms

Select from the standard list or add custom trades:

  • • Plumbing & Heating
  • • Electrical
  • • Gas Engineering
  • • Roofing
  • • Damp Proofing
  • • General Building
  • • Carpentry & Joinery
  • • Plastering & Rendering
  • • Groundworks & Drainage
  • • Pest Control
  • • Fire Safety
  • • Asbestos Management
  • • Lift Maintenance
  • • Cleaning & Clearance

Contractors can have multiple specialisms. When a repair is created, MaintenanceOS suggests contractors matching the repair category and coverage area.

SLA Configuration

Set default SLA targets per trade:

TradeEmergencyUrgentStandard

Gas Engineering2 hours4 hours24 hours

Electrical2 hours4 hours24 hours

Plumbing4 hours8 hours48 hours

Roofing4 hours24 hours72 hours

These are workspace defaults. You can override per contractor or per property.

Contractor Portal Access

Contractors receive a secure portal link where they can:

  • • View assigned repairs
  • • Update status (En Route / On Site / Completed / Needs Parts)
  • • Upload photos and notes
  • • Submit quotes for approval
  • • See their performance dashboard

Access is granted automatically when you assign their first repair.

Performance Tracking

MaintenanceOS tracks:

  • • First-time fix rate (completed on first visit)
  • • Average response time (acknowledgement to on-site)
  • • Quote accuracy (quoted vs final cost)
  • • Tenant satisfaction (post-repair survey)
  • • Compliance (certificates up to date)

View reports at Reports → Contractor Performance.

Bulk Import

For large networks, use the CSV import template (download from the Contractors page). Required columns:

  • • company_name, contact_name, email, phone, trades, postcode_districts
