Billing & Subscriptions

MaintenanceOS uses transparent, per-workspace pricing. This guide covers plans, billing cycles, and account management.

Pricing Plans (Pre-Launch)

What Counts as a Property

  • • Each unique address (building or unit)

  • • HMOs: Each licensed HMO = 1 property (flats within not counted separately)

  • • Blocks: Each block = 1 property (flats within not counted separately)

  • • Commercial units: Each unit = 1 property

Billing Cycle

  • • Monthly: Charged 1st of each month, in advance

  • • Annual: Charged on anniversary, in advance

  • • Proration: Upgrades immediate, downgrades at cycle end

  • • Currency: GBP only (UK entities)

Payment Methods

  • • Card (Visa, Mastercard, Amex) — Stripe processed

  • • Direct Debit (Bacs) — GoCardless, UK bank accounts only

  • • Invoice (Enterprise only) — Net 30 terms, PO required

Failed payments: 3 retry attempts over 7 days → Workspace suspended → Data retained 90 days → Then deleted.

Managing Your Subscription

Settings → Billing → Subscription:

  • • View current plan, next billing date, usage vs limits

  • • Upgrade: Immediate, prorated charge

  • • Downgrade: Takes effect next cycle, confirm data fits new limits

  • • Cancel: Access continues until period end, then workspace read-only 30 days, then deleted

Invoices

Settings → Billing → Invoices:

  • • All historical invoices (PDF download)

  • • VAT breakdown (UK VAT 20%)

  • • Invoice number format: `MOS-{YYYY}-{NNNNN}`

  • • Auto-emailed to billing contact

VAT: MaintenanceOS is UK VAT registered. Invoices include VAT number.

Team Members & Seats

  • • Each plan includes seat allowance

  • • Additional seats: £8/month (Starter), £5/month (Professional)

  • • Remove member → Seat frees immediately

  • • Invite pending → Counts toward limit

Usage Alerts

  • • 80% of property limit: Email to admins

  • • 95% of property limit: Email + in-app banner

  • • 100%: New properties blocked until upgrade or removal

Data Portability

Export anytime: Settings → Billing → Export Data

  • • Properties, repairs, contractors, compliance (CSV + JSON)

  • • API bulk export for Enterprise

On cancellation: 30-day read-only access + full export available.

Enterprise Features

  • • SSO/SAML (Okta, Azure AD, Google Workspace)

  • • Custom contracts (MSA, DPA, Security Questionnaire)

  • • Dedicated infrastructure (optional)

  • • SLA (99.9% uptime, 1-hour support response)

  • • Data residency (UK-only hosting available)

  • • Penetration test reports (annual)
