Structured Repair Intake vs Free-Text Forms: What Changes for UK Teams

Most UK property teams still collect maintenance requests through free-text forms, email, or phone messages. The tenant writes what they think is relevant; the coordinator interprets; the contractor arrives with incomplete information. This cycle repeats — creating rework, missed safety issues, and no audit trail.

The Free-Text Problem

Typical free-text request: "Boiler not working properly, house is cold"

What the coordinator doesn't know:

  • • Is it gas, oil, or electric?
  • • Is there a carbon monoxide risk?
  • • Is the tenant vulnerable (elderly, young children)?
  • • Is this a total loss of heating (emergency) or partial?
  • • What's the boiler make/model/age?
  • • Has the tenant tried reset/basic checks?

Result: Multiple follow-up calls, wrong contractor dispatched, safety risk missed, no evidence for compliance.

Structured AI-Assisted Intake

MaintenanceOS uses AI to extract structured facts from natural language — whether typed on a website or spoken to the voice demo. The AI asks follow-up questions based on fixed rules:

1. Asset identification: Boiler make/model, location, age

2. Hazard classification: Gas/electrical/water/safeguarding flags

3. Urgency grading: Total loss, partial, inconvenience — mapped to response SLAs

4. Tenant context: Vulnerability indicators, access arrangements

5. History check: Previous reports on same asset/address

The output is a structured repair draft — not a classification label, but a complete fact set ready for human review.

Safety Latches Apply Automatically

The structured data triggers safety latches without coordinator judgement:

  • • Gas appliance mentioned → holds for Gas Safe engineer clearance
  • • Electrical hazard keywords → holds for NICEIC clearance
  • • Vulnerable tenant flagged → escalates to safeguarding lead
  • • Value threshold exceeded → requires authorised sign-off

Every latch decision is recorded: who cleared, when, what evidence.

Audit Evidence by Default

Free-text forms create no evidence. Structured intake creates:

  • • Timestamped fact extraction log
  • • Safety latch trigger and clearance records
  • • Contractor brief with complete structured data
  • • Tenant communication trail
  • • Compliance export for regulators

Not a Live Service

MaintenanceOS is pre-launch. The structured intake and voice demo are functional previews. We do not offer a public always-on phone service. Early access packages are shared on request via /demo/.
